INTRODUCTION

Design and Functionality

The aim was to produce a simple but powerful tool that could be used for stock control, order processing and analysis of sales.  In particular the system was designed:

To be simple in structure so that the mechanics of the programme are robust and to enable easy development of reports.
With minimum use of macros and visual basic so that users can easily customize and develop their system if they have the appropriate skills.
As menu driven for ease of use.
To have procedure options for picking and despatching that eliminates order errors.
To use product and customer codes to simplify and speed up data entry.
On Microsoft Access database platform to make best use of the authors programming skills.
To record all transactions for book keeping and VAT purposes and minimise the amount of paperwork filing.

The system functions through the ‘Order Form’ records.  Sales and purchases are recorded on the order form where each stock item entry takes only a few seconds.  Stock levels are automatically updated after every line entry and are available to view at any time to assist with order processing.  For each order, a delivery note (or invoice if necessary) is produced to enable the correct despatching of orders.  Delivery notes and invoices are given to the customer.  We don’t keep delivery paperwork since FASTFoods contains all of the necessary details for book keeping and VAT records and we keep a proper backup of our data (our house and office might burn down but we can still produce a full set of accurate accounts).

Orders are processed using forms available on the Main Menu

Sales Analysis

Detail and summary of individual customer sales
Sales summary by customer grouping (scheme/development)
Sales summary by customer type (adverts/canvassed/demo/etc)
Sales report with VAT summary for any given period
Instant view of sales to date in current week
Sales history by product
Instant view of product availability while processing orders


Stock Analysis

 Current stock levels with re-order level markers
Average turn over of stock (item for item) for a given period 
Stock valuation at cost - item for item and total value
Lists of product by meat type and meal size

Managing Customer Enquiries

Maintaining a customer enquiry database 
Mail merging for catalogue issues
Analysis of enquiries

Mailing Labels – 14 or 18 to a sheet (generated using group codes in the customer file)

Ongoing Development and Maintenance

 A maintenance package is available for an annual fee.  Maintenance to include:

 
·         Ongoing software technical support.

·         Assistance to develop customised user functions.

·         Upgrade disks following release of new catalogues. 

·         Upgrade of software to include revised product list and new prices.

·         Upgrade of software to include all new software developments.

·         Access to any special systems such as Xmas Editions

There is always room for improvement so the system is regularly updated with extra functionality and new ideas to make the system more useful and easier to use.  Feedback from users is often a catalyst for change that has resulted in many improvements over the lifetime of the system.  Development of the system is enhanced because the software developer is familiar with the workings of the franchise. 

Hardware and Software

Any modern computer PC or laptop should be capable of running this system but Microsoft Access version 2000 or more recent must be available as a database platform to run the application.

A weekly backup of data is recommended.  Windows systems provide backup facilities using floppy disk drives.  A quicker method is to employ a re-writable CD drive and do a simple drag and drop.  Users may also consider making an occasional separate backup, say monthly, to put to another location as this secures data against fire or theft.

If a user is in any doubt about equipment requirements they should request advice from the author or from an independent specialist.
